Getting Started

  • How do I hire a Virtual Assistant?

    We need to identify what type of tasks your new staff member will be doing on a daily, weekly and monthly basis.


    Then we can consider if we need to recruit for the role or if we already have a top quality candidate available.


    We need to have a conversation to go through these details and commence working together.


    Simply go to our contact us page and reach out. 

  • How long will it take to get started?

    That depends on a few factors:


    1. Initially, you.  We are ready to go when you are but we may need some information from you to support our recruitment.  Delays receiving this information wil impact your start date.
    2. What you need them to do (i.e are they general support or will they need specific advanced skills).
    3. If we need to recruit or if we already have someone suitable and available to start straight away.

    If we already have a suitable candidate available then we can get them working with you almost immediately.


    If we need to start recruitment, then the entire process should take no more than 2 to 3 weeks.  Our training takes one full week and the recruitment process can take 1 to 2 weeks.

  • What happens after I speak with a recruiter?

    After determining your needs, and if you agree to proceed you will recieve an email containing the following:


    1. A detailed description of the candidate you require that highlights their tasks, skills and work schedule.  This document details our understanding of your staffing requirements and guides us in our sourcing and recruitment efforts.
    2. We'll provide details of how to pay your initial invoice.

    Once payment is confirmed we will commence recruitment of your team member.

Recruitment

  • How long does the hiring process take?

    Almost immediately, if we have a suitable candidate available.


    If not, it takes approximately 3-5 days to shortlist at least 3 suitable candidates that you choose from. Occasionally though we may need additional time to find the most suitable candidate for your online business.  


    Once you have made payment, we will commence the setup process and give you an idea of how long the process will take.

  • What is the minimum hiring contract?

    There is no minimum contract period although we seek long-term working relationships with our contractors and clients. We work on a rolling service agreement that is not time-bound.


    You are required to provide us with written 30 days’ notice if you would like to cancel your contract.


    We place a huge investment in terms of recruiting value in your business and in fact, it takes us up to 5 months before we are able to recoup our costs, we therefore, do not facilitate project-based or ad hoc work.


    We are happy to partner with you even if you are not ready to commit to that period of time as we are confident that once we start working together and you see the value of your new team member, you’ll be happy to stay around. 


    So, as long as you can see yourself partnering with us to support your business, that’s enough for us.


  • What if I change my mind?

    Although we would hate to see you go, we understand that circumstance can change rapidly in business.  


    If this happens with your business, simply provide us with 30 days written notice to cancel and we will free you from your ongoing obligations.

  • Can I increase/decrease my staff’s hours?

    Yes, you can change between full-time or part-time as your business requires, however note that when moving from part-time to full-time, your monthly rate will also change accordingly.  


    Any changes will take affect at the beginning of your next monthly payment cycle.

  • Do I get to interview cadidates?

    Yes, you can (and should). We will take care of scheduling the interviews between you and the candidates.


    The interviews will be conducted via Zoom or Google Meet and will be facilitated by one of our Lead Recruiters.

  • Can you guarantee my staff will be a good fit?

    The first thing to keep in mind is that long-lasting remote working relationships are a result of the following factors:


    • Proper screening and recruitment; 
    • Availability of the right tools and resources for the role;
    • Key client support to enable remote contractors to succeed in their jobs, specifically the communication of a clear and measurable role outcome and your primary business objectives.

    Whether you hire locally or remotely, you won’t really determine if the new staff member is a good fit until after at least 30 days of working together.


    However, there are signs that your new remote staff would be a good fit if: 


    • You are able to communicate with them well;
    • They are inquisitive and ask a lot of good questions;
    • You communicated clear expectations about the outcome of your staff’s role;
    • There is a camaraderie that emerges between you and your new team member;
    • Their output and performance standards increase; and
    • Deadlines are consistently and satisfactorily met without much trouble. 
  • What happens if I am unhappy with my staff member?

    We always recommend that you put the time and effort in first, to give the relationship a fair go, just as you would a local team member. Then, if you find that your new staff member is really not the right fit, we offer an employee replacement at no charge within the first six months. 


    We also offer a termination period of only 30 days’ notice.

Entitlements

  • Do I need to worry about sick pay and holiday leave?

    No, your Staff are not entitled to paid sick leave or holiday leave. However, for longer-term relationships, we encourage such entitlements to retain top talent. But of course, this is at your discretion.


    As an example, some of our clients offer five days sick leave and 10 days holiday leave, during their second full year of employment.

  • Is there any mandatory paid leave?

    The only mandatory paid leave period is Christmas paid leave. A mandatory five-day paid leave is applicable over this period.


    If you employ a staff member after Oct 1st of any year, then this is not applicable for that year, however will be for the year after.


    In the Philippine culture, there is an expectation that Christmas holidays include paid leave. We have found that offering this has fostered higher staff retention rates. Outside of the Christmas period, the 'no work no pay' rule still applies.


    This is also at your discretion.  If you would like to include additional paid leave then simply let us know and we will implement for your team.

  • Am I able to reward my staff member with a bonus?

    Absolutely, in fact we encourage it.


    There is no better way to incentivise good team members than to offer them a bonus.  This fosters a very positive attitude and longevity.


    However, we recommend that you only offer incentives that are effort based for excellent service.  This will also harbour an understanding that if your VA works hard they will be rewarded.  It's a win win!

Support

  • What if my hire doesn't work out?

    Our first objective is to find you the right person. We then provide you with an experienced account executive ensuring that the working relationship is productive.  


    However, at any stage within the first 6 months, you can replace your staff member at no cost or completely terminate your contract by giving 30 days’ written notice.

  • How long does the replacement guarantee last?

    We guarantee to replace any staff at no cost to you within the first 6 months.

  • Do you offer support after my hire?

    When you hire virtual staff with VAeComm, that’s just the beginning of our working relationship.


    It is in everyones best interest that your contract with us is a long and prosperous one and as your business grows we build your team abroad together.


    When you sign on with VAeComm you get:

    • Ongoing sourcing and recruitment of qualified candidates tailored to your needs;
    • A dedicated Lead Account Exec to support you;
    • Attendance monitoring;
    • Computer usage reports;
    • Screenshot reports;

    The lead Account Executive will negotiate any cultural differences between you and your Filipino staff member/s. They also handle the Filipino remote workers’ concerns, queries, or requests.

Staff Management

  • What if I'm having trouble communicating with my staff?

    We are here to assist both you and your staff in overcoming any cultural and communication differences. 


    Your Account Executive will support and assist you to make sure you are getting the most out of your working relationship.


    We also actively coach and train all our candidates and provide education around working for eCommerce clients.

  • Can I trust my staff?

    Yes, all staff sign and agree to maintain the confidence of their employers' IP and proprietary knowledge. 


    In addition, we ensure your staff uses our workflow management systems designed to give you full transparency over their activity and work output.

  • What happens if I am unhappy with my staff member?

Billing and Payments

  • How will I be invoiced?

    You will be invoiced on a monthly basis in USD, one month in advance of your service. 


    We also have a zero-tolerance policy for late payment of invoices, as many contractors can be living from one pay cheque to the next.  


    You will be setup on an auto payment plan via credit card.

  • Why do I pay in USD?

    We have clients all around the world and the global currency is USD.  


    It is a standard practice accross the globe and billing in one currency enables us to minimise our accounting reconcilliations and foreign exchange conversions.  These savings are then passed onto you.

  • Why do I have to pay in advance?

    By guaranteeing pay, we can attract a higher-calibre hire for you and are able to engage those who will be 100% committed to your business. 


    In the outsourcing landscape, guaranteeing pay ensures a high level of commitment from your staff member, who is paid promptly.

  • What is included in my contractor's monthly invoice?

    The remote contractor’s monthly invoice factors in your staff members pay, our service fees and staff benefits. 


    It is all-inclusive of the following:

    • Remote contractor monitoring
    • Use of our proprietary technology
    • Dedicated account management support

  • What does it cost to outsource offshore?

    That is a great question and one that is not easy to answer.  It really depends on the type of Virtual Assistant that your business requires, their skill level and their work schedule.


    As an example though VAeComm charges a flat monthly fee based on a part-time or full-time contractor.


    The fees for a General Administration VA (GAVA) is from $799USD per month for part-time (20 hours per week) or from $1299USD for full-time (40 hours per week).


    The fees for your team member will be discussed with you once we understand the tasks you require for your business.
